Workflow Focus

Develop ideas into cloud drafts, review content, schedule posts and preserve campaign reports.

Open Campaigns in your workspace and create a campaign with a name, brief, time zone and optional dates. Campaigns organize work; you can still publish ordinary posts without a campaign.

Develop ideas and drafts

In Ideas, contribute ideas, discuss them with Team Notes and assign them to a workspace member. Move work through its status as it develops. Close finished ideas or discard ideas you decide not to pursue. Creating content from an idea keeps its campaign association.

Use Content to write and edit cloud drafts. You can attach media and edit a first comment in the campaign draft editor. Wait for the saved confirmation; if saving fails, your unsaved text remains in the open editor so you can retry. Use Prompts to save reusable instructions and generate AI drafts within the campaign. AI generation uses your existing provider and credit settings.

Review before scheduling

Content approval is optional for each campaign. When enabled, submit the draft for review and have an eligible teammate approve it before scheduling. Authors cannot approve their own content. A change to reviewed copy or media requires another content review. The activity trail records decisions.

Reviewers receive Postly notifications and can find assigned content in Reports → Review & team tools → Reviews. A stale review opens the latest campaign content rather than approving an older version.

Workspace post approval remains a separate requirement after scheduling. A campaign approval does not bypass workspace reviewers or approval counts.

Select and schedule

Select the drafts you want to schedule. Choose connected channels or an Audience group, then set a start time and spacing. Check the per-item results: a draft that needs attention may remain unscheduled while other selected items succeed.

The campaign Calendar shows scheduled content in the campaign’s time zone. Select a day to inspect its posts. Use Load more if a busy month has more than the first 100 loaded posts.

Compare and save reports

Open Reports from the workspace navigation. Use Campaign reports for publishing progress and Analytics & insights for supported campaign impressions, clicks, engagements, targets and recommendations. Expand a campaign to see its details; More actions holds provider refresh, snapshots and delivery options. Publishing counts cover content currently associated with each campaign. A date range selects content by its creation date; it is not a provider analytics reporting period. A post can have both successful and failed destinations, so outcome counts may overlap.

Set campaign targets and compare publishing progress. An unavailable audience metric is not treated as zero. Refresh provider metrics checks up to three published posts per request; continue to load the next batch. Recent results are reused for 30 minutes. Provider counters cover their reported lifetime, even when the selected report period filters posts by creation date. Partial coverage is labelled and does not claim an exact remaining target. Provider refresh requires advanced analytics access. Exporting reports exports the loaded campaign rows; load additional pages first if you need them included.

Choose Save snapshot for a milestone or Save final report for a final record. Saved reports keep their original figures. Opening a delivered report opens that saved snapshot, not a recalculated report.

Export for clients and executives

Both report modules offer CSV and PDF exports. Use Export for the loaded campaigns, or expand one campaign and choose More actions → Export PDF/CSV. Load additional campaign pages before exporting if you need them included.

PDF downloads use branding automatically; they do not ask you to configure it. The report title comes from the campaign. Header, footer and logo defaults come from the organization and workspace details and icon.

Use Workspace report branding on Reports, or Workspace settings → Report branding, to open the same editor. These saved defaults apply to every campaign report and analytics PDF in that workspace, including future exports.

For an individual report, expand its campaign and choose More actions → Customize report branding. You can override the header, footer, brand color or logo for that report without changing workspace defaults or other reports. Campaign reports and Analytics & insights keep separate overrides. Choose Use workspace defaults to remove an override. Branding editors are separate from the PDF download workflow.

Choose a PNG/JPG logo below 2 MB and 4096 pixels per side; Postly prepares a compact version for your reports and saves it in Postly cloud. PDF and branded reports use the existing advanced analytics entitlement.

Each module has its own date filter and clearly named export control. Choose a preset such as Last 7 days or Last 30 days, or use Custom range with calendar or manual date entry. Date filters select content created in the chosen range; provider metrics may still represent lifetime totals for those posts.

The PDF includes dates, refresh information, metric coverage, targets and recommendations. Unavailable metrics remain unavailable, rather than becoming zero. Each campaign starts on a new page, with consistent headers and page numbers.

Schedule report delivery

Workspace settings administrators can schedule weekly or monthly reports to selected current workspace members. Delivery is through Postly notifications. Weekly reports cover the preceding 7 days; monthly reports cover the preceding 31 days. Delivery uses UTC. Choose Off to stop future deliveries.

Campaign reports do not establish lead or revenue attribution, or unique audience reach across platforms. Use Analytics for account-level reporting.

Client feedback

Select up to 20 campaign posts and choose Share for client review. An eligible workspace approver can create a link that expires after 1–30 days. Anyone with the link can view the shared content and leave a named approval or change request. Names are supplied by the link holder; they are not verified workspace identities. Share the link only with intended reviewers.

The link shows a fixed version of the selected content. If the underlying content changes or moves, the reviewer must ask for a new link before submitting another decision. Client feedback does not replace your team's content or post approvals. Open Client reviews on the campaign to see decisions or revoke a link.

Workload, priorities and navigation

The Reports → Review & team tools → Workload view groups open ideas by assignee and status. Planned dates in the past count as overdue. Organization administrators can use the Organization view to compare active campaigns across workspaces. Each workspace summary shows up to 10 active campaigns; use its full report for the complete list.

Home shows priorities from active campaigns and adapts its guidance to the workspace usage profile. Core navigation keeps Home, Campaigns, Platform connections, Calendar and Reports together. Open Manage shortcuts to search pages and useful tabs, pin a recent page, or remove a pin. Up to 10 shortcuts appear: pins remain first until unpinned, while recent pages fill the remaining places and older visits rotate out. Clear all clears recent history without removing pins. These choices are saved separately for each user and workspace.

Campaign selection is also available in the standard composer, poll editor, Auto Post source setup and bulk import. Bulk imports cannot directly schedule new content into a campaign requiring content review; develop and approve those drafts in Campaigns first. Workspace publishing approval still applies to every publishing path.
