Use role checkboxes when inviting a member or updating an existing member. A person can have multiple roles. Keep at least one base role: Owner, Admin, or Editor.
Choose the right access
| Role | What it means | CRM access |
|---|---|---|
| Owner | Full access to the invited account, including billing and all workspaces | Automatic, subject to the account plan and workspace restrictions |
| Admin | Workspace administration within the permissions assigned to the member | An Owner must also assign the CRM role |
| Editor | Content work within the permissions assigned to the member | An Owner must also assign the CRM role |
| CRM | Access to CRM in the assigned workspace, alongside a base role | Conversations, contacts, pipeline, tasks, follow-ups, and exports available on the plan |
Owner, Admin, and Editor are the shared base roles across the 12 product dashboards. The additional CRM role appears only in Postly and Postly CRM.
Owner is account-level access. Choose Admin or Editor plus CRM when someone should work with customers without receiving billing access or ownership of the account.
Invite a member with multiple roles
- Open Workspace Settings > Team and choose Invite.
- Enter the member's email address.
- Check the base role or roles the member needs.
- As an Owner, check CRM if an Admin or Editor should use CRM in this workspace.
- Review the selection and send the invitation.
When Owner is selected, CRM is automatically checked, gray, and not editable. You do not need to select it separately. Only Owners can assign the Owner or CRM role.
Change an existing member's roles
Open the member's role controls in Workspace Settings > Team, update the checkboxes, and save. You can grant or remove CRM access without changing that member's existing publishing permissions. Review publishing customizations separately when you intend to change content access.
CRM is one permission bundle for now. It does not provide separate conversation-only, contact-only, or export-only roles. Removing CRM from an Admin or Editor removes their CRM access; an Owner continues to have it automatically.
Who controls CRM channel slots?
Owners manage CRM access restrictions and choose which connected channels use the account's CRM slots. Assigning Admin, Editor, or CRM does not give a member permission to enable CRM in a blocked workspace or allocate paid channel slots.
