Workflow Focus

Choose CRM-compatible channels, manage shared channel slots, and restrict CRM to the workspaces and people you choose.

CRM access has three separate controls: your subscription, the organizations and workspaces allowed to use CRM, and each member's roles. Connecting an account for publishing does not automatically select it for CRM.

Choose channels in Conversation inbox

  1. As an Owner, open Postly CRM > Conversation inbox.
  2. Open Manage CRM channels. Setup lists CRM-compatible platforms and groups connected channels by platform, using your Platform connections.
  3. Connect or reconnect an account when needed. A connection must support the CRM interaction you want to use; not every platform supports every message, comment, review, or reply action.
  4. Select the individual channels you want to use for CRM. Check the account-wide slot counter before saving.
  5. Save the selection to activate the inbox for those channels, provided the subscription has capacity and the workspace is allowed.

Only selected channels sync into CRM. Inbox channel filters, platform lists, and conversations reflect that selection. A platform row can contain more than one selected channel: slots count channels, not platform names.

You can return to Manage CRM channels at any time. Connecting or reconnecting remains available when the slot limit is reached; selecting another channel for CRM requires an available slot. Deselect a channel or increase the subscription quantity before adding more.

How channel limits work

  • Eligible Postly Pro accounts include CRM Essentials for five channels across the account.
  • Postly Enterprise includes the full CRM feature set, with the same five-channel base limit.
  • CRM Advanced add-ons and standalone Postly CRM subscriptions start with a minimum of five channel slots. The subscription's channel quantity determines capacity; the included five are not an extra pool on top of that quantity.
  • The limit is shared across all workspaces owned by that account. Five slots do not mean five slots per workspace.
  • Publishing connections have their own plan rules. Selecting CRM channels does not disconnect other publishing accounts.

You can increase or reduce the paid channel quantity, keeping the five-channel minimum. Release excess CRM selections before reducing capacity. If saved allocations exceed the new limit, CRM channel access pauses until an Owner brings the selections within capacity.

Allow CRM by default, block it where needed

Organizations and workspaces are allowed by default. This does not automatically select channels or give every team member CRM access.

An Owner can open Workspace Settings > CRM access and turn off CRM for a workspace or its organization. Blocking an organization blocks its workspaces and releases their CRM channel slots. Use these controls before saving channel selections when CRM should be restricted to part of the account.

Keep channel selection in Conversation inbox; workspace settings control where CRM is allowed. A member still needs Owner access or an Owner-assigned CRM role to use CRM, and the relevant plan features must be available.

Example: use CRM for just one workspace

  1. Leave CRM allowed for your chosen workspace.
  2. Block CRM in other organizations or workspaces under Workspace Settings > CRM access.
  3. In that workspace's Team settings, assign CRM only to the Admins and Editors who need it. Owners have CRM access automatically.
  4. Select that workspace's compatible channels in Conversation inbox and save within the account's slot limit.

Complete the restrictions and role assignments before activating channel selection. Other organizations' publishing permissions and connections stay unchanged. Existing Admins and Editors cannot allocate CRM slots or remove Owner-controlled restrictions.

Can I use other CRM pages before connecting channels?

Yes. Overview, Contact capture, Pipeline, Tasks & follow-ups, CRM automations, Integrations, Analytics, and Settings can open without connected inbox channels, subject to your role, workspace access, and plan. They may show an empty state until data exists. Channel setup belongs in Conversation inbox.
