Unread badge
The side nav shows unread Team Notes so users know when something needs attention.

The central inbox for all note activity

Team Notes should appear as a dedicated side navigation item. The inbox is where users see new activity, mentions, open discussions, their own notes, and closed notes.

The badge count represents unread Team Notes for the current user.

New

Recently created notes, unread replies, and new activity that needs the user’s attention.

Open

Active note threads that are still unresolved and require review, action, or follow-up.

Mentioned Me

Notes where the current user was tagged using their workspace member identity.

My Notes

Notes created by the current user, including open and recently updated discussions.

Closed

Resolved notes kept for reference, still linked to their original source item.

Mentions

Tag teammates by workspace identity

Users already have Postly account email addresses. When a user types @ inside a note or reply, Postly should show current workspace members. The dropdown should search display name, first name, last name, and email address.

Search by name or email
Typing @sarah or @sarah@example.com should find the same workspace member.
Store member IDs
Mentions should store the referenced user or workspace member ID, not just plain text.

Removed workspace members remain visible in old note history, but should not appear in new mention suggestions.

Source linking

Inbox first, then open the original source

Clicking a notification should open the Team Notes inbox. From the inbox, clicking the note should open the original item with the notes panel already active.

Every note keeps its source context.
Notification click
Bell notification clicked → opens Team Notes inbox → shows the new or unread note thread.
Inbox note click
Note clicked from inbox → opens the original source item → opens the notes panel for that item.

Core Team Notes features

Keep the feature simple: contextual notes, threaded replies, mentions, inbox activity, source links, close, and delete.

Notes icon

Supported items show a small notes icon. If open notes exist, the icon displays the active count.

Notes panel

Clicking the icon opens a side panel where users can add notes, view replies, respond, close, or delete where permitted.

Threaded replies

Each note works as a focused conversation attached to the original item.

Team mentions

Typing @ opens a dropdown of workspace members searchable by name or account email.

Team Notes inbox

The side navigation includes Team Notes as the central place for all note activity.

The Team Notes side nav item shows unread note activity, similar to new mail or a new message.

Clicking a note from the inbox opens the original source item with the notes panel active.

Close note

Resolved notes can be marked as closed and moved out of active note counts.

Delete note

Notes can be deleted by the creator, workspace Owner, or workspace Admin after confirmation.

Close means resolved
Closed notes leave active counts but remain available in the Closed view for reference.
Delete with control
Only the note creator, workspace Owner, or workspace Admin can delete a note.
Workspace permissions
Notes should follow existing workspace access rules for the source item.
