Canva to Postly handoff checklist: export, crop and version control

Move finished Canva creative into a publishing campaign while keeping the approved version, channel crops and caption context aligned.

Before you start

Identify the approved design and the channels that will use it. Exporting a design creates an asset; do not assume later Canva edits automatically replace an already scheduled file.

Prepare and review the release

  1. Label the approved design version and check its spelling, dates and product facts. Export the appropriate image or video from Canva.
  2. Bring the exported creative into Postly and select the publishing channels. Prepare separate crops when one layout makes text too small or clips important content.
  3. Write channel-specific captions and review each preview. Attach the approved asset to the draft rather than an older file with a similar name.
  4. If the design changes, export again, replace the affected scheduled assets and repeat review. Check the actual published media after the first release.

Worked example

An event poster changes from Thursday to Friday. The designer exports a new file named with the revised date, and the scheduler replaces the media in each pending post. The reviewer also changes the captions, preventing a correct poster from carrying an outdated written date.

If something goes wrong

  • Old design still scheduled: replace the exported asset in the pending draft.
  • Text clipped: adapt the Canva layout for that destination and re-export.
  • Video timing changed: replay the final exported file rather than relying on the design editor preview.
